Where to Split Documents

You can split documents whether you are working in a case or batch. You can also split documents in a Search Results tab if the search was performed in a case (not in a batch).

In all cases, documents must be sorted in order by BEGDOC before you split any of them.

When to Split Documents

To avoid errors, split documents at a time when other users will not be working with them.

Documents to Split

Identify how document pages will be split. The first page of the document must be selected. Unselected pages will be added to the page preceding them.

NOTE: To maintain the integrity of production sets, documents that have already been produced cannot be split.

Fields

Consider how fields will be managed for the split documents:  

  • If the following field types are selected, the data will be copied to the split documents. Fields that are not selected will contain no data after the split.

  • CUSTODIAN

  • DATE, DATE_TIME, TIME

  • DECIMAL

  • ENDATTACH, ENDDOC

  • FILE_EXT

  • FILE_ID

  • MD5_HASH

  • MEMO

  • MULTI_VALUE

  • NATIVE_SIZE

  • NUMERIC

  • IMAGECNT

  • SINGLE_VALUE

  • TEXT_SIZE

NOTE: These fields will be re-calculated/updated if your administrator validates them in Administration (Validate Image/Native File Paths tool).

Extracted Text

You will have the option to create extracted text for each new document

  • if it does not exist for each page of the document being split, or

  • if no page breaks are included in the extracted text that does exist for the document.

Decide whether or not to select this option if one of these conditions exist.

Tags

Determine whether or not to apply the tags of the original document to each new document.
